Shortlink QR codes can be created in Backstage, associated with a trigger action in the app, and then printed or displayed at the venue so that attendees can scan them.
Their purpose is that when the attendees scan the QR codes, it will trigger actions in the app:
- Add a bookmark to the app
- Open a feed link in the app
- Open an item (page, form, sponsor page, speaker page, etc.)
- Prompt to edit the attendee's profile in the app
- Show a customizable popup message in the app
- Record session attendance (check-in to a session)
Attendees must scan these QR codes using the QR & Scan app menu item for the QR code to work. More information. Using the device's native camera for scanning QR codes is not supported.
QR codes are created and configured in the workspace using the Shortlinks module, accessible via the Content category of the main menu. You will need to install the QR scanner module on your workspace in order to see the Shortlinks menu in Backstage.
Important: The shortlink QR codes described below are different to the attendee personal QR codes that are used for checking into an event or a session, exchanging business cards, or lead scanning.
How to creating shortlink QR codes and link them to actions
To create a QR code in Backstage and associate it to an action, go to the Shortlinks module in the Content category.
Click on New shortlink, and fill out the following information:
Here, for a page in the app to open after scanning the QR code, we will select Open an item > Content page > Hotel information page.
1 - (Title) add a title to the shortlink QR code
This is just the name used in Backstage to identify the shortlink. It can for example be "Open hotel info page".
2 - (Short link) add a short name to the shortlink QR code
This is the actual textual content (encoding) of the QR code that you have created and wish to link to an action. It must be a unique code and start with "SL". For example: "SL001", "SL002", etc. Make sure there are no spaces or special characters in the name.
Tip: For SpotMe shortlink QR codes, this "short link" field contains the unique ID within SpotMe to identify the short link and its corresponding action. This unique ID (for example "SL001") can be encoded into any QR code generated by a third party tool, in order to allow attendees to scan that QR code image and trigger the short link's associated action. This option can be used if event organizers do not wish to use the QR code images generated by Backstage, and use their own instead.
3 - (Actions) Associate the shortlink QR code with an action:
Select the action that will be triggered when attendees scan this QR code.
- Add to bookmarks
Select an item that will be bookmarked when the QR code is scanned. Just select the action and from the following dropdown menu select the type of item you would like to be automatically added to the app user's bookmarks. - Open a feed link
Use this option in order to open a hashtag or a mention in a specific feed.
To open an feed using a shortlink, use the option "Open an item". - Open an item
This option contains a large variety of options that can be used. Choose the type of item in the drop down list, then the specific item you would like to associate with the QR code.
Some of the most popular items are:
- Document – select it to link the action to a specific document
- Session – select it to link the action to a specific session
- Speraker – select it to link the action to a specific speaker
- Page – select it to link the action to a specific document
- Feed – select it to link the action to a specific feed
- Edit profile
Select this option so that the app user will be prompted to edit their information on their profile page (such as their contact information or photo) after scanning the QR code. - Show a pop-up message
Select this to create a pop-up message, with a title and message text, that will be displayed when scanning the QR code. The pop-up message can also contain a link to an item to be opened after seeing the pop-up.
- Record session attendance
This is used for tracking session attendance, using the Session attendance module.
4 - (Icon) Add an icon for your shortlink
This is optional and is only used when you are using the shortlink as a quick link in the app home page.
Once you have performed the above steps, the QR code is created and linked to the selected action.
You can add as many QR codes as you need by following the steps above. The QR codes can then be exported in order to display them wherever you need them at the venue or in a remote hub for your attendees to scan.
We recommend that you test the QR codes after exporting to ensure that they work as intended.
How to export/download the shortlink QR codes
Once you have created and configured your shortlink QR codes, you can export them as images that can be printed and/or displayed at the venue for the attendees to scan. To do so:
Click on the ... to the right of the import XLS button. Now click on the the Download shortlink QR code images button:
Clicking this button will download a All-QR-Shortlinks.zip file, containing all the shortlink QR codes.
Each QR code is downloaded as a .png file, and is named after the title of the shortlink and the short name: For example: in the above case it is Open hotel information page - SL001.png.
The size of the QR code is 696 × 696 px. The .png QR code image looks as follows:
Exporting the SpotMe user QR code images, SpotMe user QR information, and QR shortlink scans
In the Shortlinks module, go to the Exports tab:
Here you can:
- Download a zip file containing all the QR images for all users in the workspace, by clicking on Export QR images. The .zip file will be named according to the event name: eventname-QR-BadgeImages, and will contain all the SpotMe user QR codes for the attendees. Each QR code image file is named after the user's fp_ext_id.
- Coming November 7, 2023: Download a report that contains the necessary information to generate QR codes (when wished to be done outside of the SpotMe platform) and encoding them with SpotMe user data. This will allow customers to use these QR codes for example for badge printing (when wished to be done with another provider than SpotMe) and can be used with other SpotMe features such as event check-in, session attendance tracking, lead scanning and business card exchange. Download the report by clicking on Export user QR information.
The Excel file contains two columns: the fp_ext_id, and the SpotMe QR code information for each user, as well as any other selected user metadata. - Download a report that contains all the Shortlink QR code scan activity for the event, by clicking on Export QR shortlink scans:
This report includes the following information:
- The name of the QR code shortlink.
- The short name of the QR code shortlink.
- The timestamp (date and time) when the attendee scanned the QR code.
- The attendee's information (fp_ext_id, fisrt name, last name, company).
