When creating a workspace, Backstage users will often start by creating a test workspace, by selecting the Test workspace option in the creation wizard:
Test workspaces should be used for testing, training, or demo purposes. In a test workspace, no seats are consumed, and any paid functionalities (modules) can be downloaded for free from the SpotMe marketplace in order to be tried out.
Also, test workspaces can only email a single attendee at a time. This works as a safety measure to ensure that your attendees do not receive access to the event prior to the workspace being fully ready.
In order to use a test workspace for your live event, you will first need to upgrade the status of the workspace from Test to Pre-production, and then from Pre-production to Production status.
Below is a breakdown of these three workspace statuses, and the differences they present:
Test:
Users and paid modules are not charged.
Can only email one user at a time.
Event is not visible in the app container or the attendee’s list of events.
Pre-production:
Users and paid modules are charged.
Emails can be sent to all users.
Event is not visible in the app container or the attendee’s list of events.
Production:
Users and paid modules are charged.
Emails can be sent to all users.
Event is visible in the app container and in the attendee’s list of events.
Changing the status from Test to Pre-production
To change the status of your test workspace, go to Settings > General in the main menu, and click on the Move to preproduction button:
Remember that you will first need to upgrade the status of a workspace from Test to Pre-production, before you can upgrade it to Production status.
Once clicked, you will need to confirm status change. Please note that by moving a test workspace to pre-production status, your organization plan will start to be charged (including any installed paid modules):
After confirming, Backstage will need to reload to apply the change of status.
Note: Backstage organization members can only create test workspaces, and only Backstage organization admins and organizers can promote workspaces to pre-production or production.
Tip: You can also see the production status of a workspace, indicated below the workspace name, above the main menu to the left (it will say Test or Production).
Note: Attendees will not be able to log-in to an event that is is pre-production status, via the app container (for example via https://webapp.spotme.com/login/). They can however access the event via the Access event links (magic link).
Changing the status from Pre-production to Production
Follow the same approach as described above to upgrade the status of a workspace from Pre-production to Production, before going live with your event, except that here you will use the dropdown selector:
Moving the event to production will mean that emails can be sent to all users in the workspace and that the event will be visible in the app container and in the attendee’s list of events.
