Measurable impact
One pharma team compared booth performance at the same cardiology congress before and after moving congress capture onto Onomi:
- 4 times more interactions captured, increasing from 205 to 850.
- 4 times more unique HCPs engaged, increasing from 177 to 710.
- HCP identity matching increased from 17.5% to 84%, meaning more interactions arrived in the CRM attached to a known HCP.

Solution capabilities
Offline-first capture
The Field App is designed to work without relying on venue connectivity. Every interaction is saved to the device first, allowing representatives to continue capturing without interruption.
A pending count shows what is waiting to sync, and Onomi automatically syncs captured data when connectivity returns. Sync retries continue even after an app restart, and interactions already in progress are protected if the connection drops.
Identity lookups and off-device badge mapping can also be queued when the device is offline, so they do not prevent the representative from continuing the conversation.
On the spot identity resolution
Identity resolution happens as part of the capture experience rather than as a separate task.
Onomi transcribes the badge, searches the configured data sources, and presents potential HCP matches ranked by confidence.
The representative can confirm the correct record while the HCP is still at the booth.
If the lookup takes longer, the representative can continue with the qualification form while the results are processed in the background.
Optical scanning on any phone
Not every congress provides an API, and not every badge offers a QR code. Optical scanning gives representatives a reliable way to capture badge information regardless of how the congress handles its registration data.
AI-powered field mapping automatically transcribes the badge and maps information such as name, title, institution, and country to the relevant lead fields. Representatives simply confirm the information instead of entering it manually.
Because the processing is no longer dependent on the device, automatic mapping works across both iOS and Android, without requiring a specific phone model.
If the representative is offline, the badge image is queued and processed once connectivity returns.
Consent built into the experience
Consent can be configured as a dedicated step before badge capture, allowing the representative to hand the phone to the HCP so they can review the privacy notice and provide their consent.
Consent forms can be configured per sponsor, including different wording and languages. An optional signature field is also supported offline.
If mandatory consent is declined, the capture stops and no lead record is created.
One streamlined capture flow
Consent, badge capture, identity resolution, and qualification are brought together into a single sequence.
Instead of moving between multiple screens and tasks, representatives can capture an interaction and complete the required steps in one continuous flow.
The result is a faster experience that lets representatives spend more time talking to HCPs and less time managing the capture process.
Real-time booth performance
The Field App gives representatives and programme owners visibility into activity as it happens.
The home screen shows the sponsor's activity for the current day, including interactions captured, the change compared with the previous day, completed qualifications, and the representative's performance compared with the sponsor total.
This gives team leads an opportunity to identify issues while the congress is still running and address them immediately.
Clear lead status
Each lead shows whether it still needs attention.
Leads are marked To do when identity resolution is incomplete or a mandatory qualification question remains unanswered. Once all required steps are complete, the lead is marked Completed.
Representatives can therefore identify and complete outstanding work while the interaction is still fresh.
Capture at any congress
The Field App supports three capture methods: QR code scanning, optical scanning, and manual entry.
Where a congress provides an API dev kit, the Field App can use it to retrieve the congress registration record. More than 50 congress dev kits are supported out of the box.
When API access is not available, optical scanning provides a consistent alternative. The representative follows the same capture flow, regardless of how the congress provides its badge data.
Built on your existing Universal lead capture setup
The Field App updates the capture experience without replacing the underlying module.
Your existing setup remains in place, including Backstage configuration; sponsor and representative setup; qualification forms and prospect metadata mapping; lookup integrations; reports and exports; and API responses used by downstream systems.
There is no need to rebuild your integrations or create new reports.
Typical use cases
Large international congresses with mixed booth teams. Medical and commercial representatives can capture interactions side by side using their own phones, while each sponsor maintains its own consent wording and configuration.
Congresses without API access or with unreliable connectivity. Optical scanning provides reliable badge capture, while offline-first functionality allows representatives to continue working and automatically sync data when connectivity returns.
Programs running multiple congresses throughout the year. The same configuration, forms, and reporting can be used across events, making it easier to compare booth performance and capture quality from one congress to the next.
How it works
The Field App uses the term interaction for the conversation captured by a representative. In Backstage, reports, exports, and APIs, the same record is referred to as a lead. The underlying record is the same.
1. Open the app
The home screen shows the sponsor's activity for the current day. + Capture interaction starts the capture flow.
The home screen can also be configured to open directly into capture if preferred.
2. Capture consent
If consent is configured as a pre-capture step, the representative hands the phone to the HCP so they can review the privacy notice and provide consent.
Consent can also be included in the qualification form, depending on your configuration.
3. Scan the badge
Representatives can capture the badge using QR scanning, optical scanning, or manual entry, depending on the methods enabled for the event.
4. Resolve HCP identity
Once the badge has been captured, Onomi processes the information and presents ranked identity matches.
The representative confirms the correct HCP record or selects “No match” or “Out of scope”.
5. Complete the qualification form
Your existing qualification forms continue to work as they do today, including the mapping of form responses to prospect metadata.
If your current form combines consent and qualification questions, you can ask your Onomi team to separate the consent questions into a pre-capture form.
6. Save and sync the lead
The lead is saved to the device immediately and synced automatically when connectivity is available.
It remains available in the same Backstage lead lists, reports, and exports you use today.
Getting the Field App for your events
The Field App runs on iOS and Android and is enabled per workspace by your Onomi team. Any template or copy made from that workspace will include the Field App.
Before your congress, make sure representatives are running the latest version of the mobile app.
If your organization publishes its own branded app, allow additional time for the app update and publishing process. App Store review can take up to a week, in addition to your own release process.
