In the Sessions module, in the Preferences tab, you can configure how the sessions will look in the agenda list. To do so, go to Content editor > Session list:
Master and track sessions
Master sessions can contain one or more track sessions (up to 50 track sessions per master session).
The settings here allow you to decide how these master and track sessions will look in the agenda's list of sessions.
Track sessions to display
Use the below options to determine whether you want the master session and any track sessions to appear directly in the session list in the agenda.
Remember that when multiple track sessions are linked to a single master session, an attendee will only be able to register to one of the track sessions within that master session. This is true even if the track sessions are taking place over different times.
All: When expanding a master session, all track sessions will be displayed, regardless of whether they were targeted to the current user or whether they registered for any of the sessions. This is the default setting. To be more specific, this is the behavior:
- If a track session is not targeted to anyone, it will be visible to the current app user.
- If a track session is targeted to the current app user, it will be visible to the current app user.
- If a track session is targeted, but not to the current app user, it will not be visible to the current app user.
Targeted or registered only: Master session + only targeted and registered track sessions will be displayed (using an "expand master session" button).
None: Only the master session will appear. Track sessions will only display when the participants open the master session.
Automatically expand master sessions
By default this option is not selected, and users will need to use an "expand master session" button associated to the master session in order to see the track sessions in the agenda session list.
If you select this option, the track sessions will be fully displayed in the agenda session list by default (i.e. without the participants needing to use the expand master session button.
If you have multiple breakout sessions, and participants need to sign up for one session per breakout, use Targeted or registered only with Automatically expand track sessions.
If you want to highlight the topic or the speakers of your breakouts, use None. This will first display the session page and then the track sessions below.
Display
Use the checkboxes here to display or not the items listed below for your sessions:
- Registration checkmarks appear in the session when user's have registered.
- Tags can be made visible or not in the session.
- Speaker photos can be displayed or not in the sessions.
- End time can be displayed or not for sessions.
If all sessions in your agenda are personalised (targeted), we recommend that you uncheck the Registration checkmarks option.
If you have two or less tags, consider not displaying them at all by unchecking the Tags option.
To change the text on the second line, displayed below the session name, go to Setup > Metadata Manager > Session > Expand representations > 2nd line. You can map this to any other metadata field.
In app filtering
Use the toggles here to enable or disable the corresponding options that app users can apply, in order to filter through agenda sessions:
Enable in app filtering: This option can be used by the Backstage user to fully enable or disable the session filters in the app agenda:
Filter by registration status: Allow the app users to display only the sessions that they are registered and/or targeted to (sessions that the attendee is targeted to will also be displayed):
Filter by tags: Enable the “Filter by tags” option to allow the app users to select tags in order to choose what sessions to display:
Beyond enabling the “Filter by tags” option, you can also choose whether or not to apply “combined tags”:
- Filter by combined tags OFF:
A session only needs to contain any one of the selected tags to be displayed, regardless of any tag group. - Filter by combined tags ON:
If no tag groups are used, sessions must match any of the selected tags to be displayed.
If tag groups exist in the workspace, sessions must have at least one of the selected tags, from each tag group (that has tags selected), to be displayed.
Filter by bookmarks: Allow the app users to choose to show only sessions that are bookmarked:
- Filter by metadata field:
- Appearance (default appearance).
- Appearance when targeted or registered.
Content
Create rules here that will determine what sessions will be displayed in "My agenda" in the app, based on populated metadata. You can combine multiple rules.
Important: These filters are only applied to attendees seeing the agenda in the mobile app, and not in the web app.
To create a rule:
- Click on Add rule:
- In the Filter dropdown, select the metadata you want to use for the rule, and how it will be populated. You can use custom metadata for this.
- Select what condition to apply to the metadata. Here in the above example, we have configured the rule so that any sessions that have the "full agenda" metadata (hidden) populated as "true" will be displayed in the My agenda in the app.
