Download and access the session registrations report
The Session registration report can be downloaded via the Sessions module > Registration tab > Export XLS:
The single report, called Session-Registrations-"workspace ID"-"date and time of download" contains a full list of attendee session registration or waitlist statuses:
This includes for each attendee in the report:
- The attendee information: first name, last name, email address, etc: not editable.
- The attendee's current registration status for the corresponding session in column I/J: editable as "registered" / "unregistered" or "Not registered" / "waitlisted".
- Time registered:
The date and time when they completed their registration, if applicable: not editable. - Time waitlisted:
The date and time when they signed-up for the session waitlist (if applicable): editable by modifying the date to move the user up or dow the waitlist. - Time removed from the waitlist:
The date and time when they were removed from the waitlist (if applicable): not editable - Reason to be removed from the waitlist:
The reason why they were removed from the waitlist (if they claimed a free spot, or did not claim the free spot on time, or unregistered themself from the waitlist): not editable - The session title: not editable
- The session ID: not editable
- The session start time and end time: not editable
Edit and re-uploading the report to make changes
In the downloaded report, you can modify some of the included data, save your changes, and then re-upload the report in order to implement the changes in Backstage, via the Sessions module > Registration tab > Import XLS section:
The data that can be modified is as follows:
- The attendee current registration status for the corresponding session in column I/J:
editable as "registered" / "unregistered" or "not registered" / "waitlisted".
Here, you can, for example unregister an attendee from a session, by replacing "registered" with “unregistered" , or register an attendee for a session by replacing "unregistered" or "waitlisted" with "registered". - The date and time when the attendee signed-up for the session waitlist:
editable by modifying the date/time to move the user up or down the waitlist order. Remember that the order of the waitlist is determined based on which attendee signed up first to the waitlist.
You can for example edit this column in the report to modify which of your attendees is at the top of the session the waitlist. Read the section below on How to modify the order of the attendees on the session waitlist
The other information included in the report cannot be edited/modified.
Important: The session registration import will not check any of the session registration or capacity settings when implementing the registrations. For example, if during the import a session capacity does not allow for the registration to be made, the registration will go ahead and no error will be displayed.
It is currently not possible to use this feature with sessions which have been imported from the following integrations: Hubb, Cvent, Swoogo, Rainfocus. This is to prevent synchronization issues with the external source.
How to modify the order of the attendees on the session waitlist
Attendees that sign up for a session’s waitlist are added to the waitlist on a first come first serve basis. This means that the first attendee to sign-up for the waitlist will be the first attendee to have the opportunity to claim a seat if one becomes available.
As explained above, you can download the session Registrations report, via the Sessions module.
This report includes a column F called “Time waitlisted”, that shows the date and time when the attendee joined the registration waitlist for the corresponding session indicated in columns I and J.
The date and time in column F are used to determine the order of the attendees on the waitlist for a given session.
By modifying the attendee waitlist dates and times in the report for a given session, saving your changes, and then re-uploading the file to the workspace, you can modify the order of the waitlist for that.
