How to access and share live session permalinks
Event planners can share permalinks with their live session host, moderators, and speakers, to give them the access that they need to a specific live session, without requiring that they log into Backstage.
There are three types of permalinks that can be shared, each with their own permissions:
- Host permalink: Hosts can set up and control the live stream broadcast, and manage Q&A and polls.
- Moderator permalink: Moderators can manage Q&A and polls.

Speaker permalink: Speakers can view approved questions and see polling results.

- Through these links, hosts, speakers and moderators will only have access to the specific live session you invite them to, and will not have access to the rest of the workspace.
- When using these these links, hosts, speakers and moderators will be able to access the specific live session, without requiring that they log into Backstage.
- These permalinks are deliberately short to make them easy to remember and to manually type when being used onsite by the event staff.
- The beginning of the link is always the same, only the extension changes for each live session.
A standard link is in the following format: https://link.spotme.com/xxxxxx
- The extension "xxxxxx" is a 6-character, system-generated unique variable for each link.
To invite a host, moderator, or speaker or to your live session in Studio, open your live session in the workspace, and go to the live session settings.
From here, in the Settings > General tab, and depending on whether the host, moderator or speaker is attending in person or remotely (depending on the live session type), you can click on Copy link to copy the appropriate link, or write it down, in order to share it with them.
Attending in person permalinks are to be shared with users who are attending in-person.
Attending remotely permalinks are to be shared with users who are attending remotely.
Hosts, moderators and speakers cannot be invited to live streams that are using third party (embedded) streams.
Once they have the correct link, users will just need to click on it, or paste or type it into their browser, in order to join the live session and access Studio.
Backstage users can also access the live session links directly from the list of live sessions in Backstage:
In addition to the host, moderator and speaker permalinks, you can also copy the Live display permalink for the live session (if enabled).
While Backstage and Studio are accessible from mobile browsers (Mobile Safari, Google Chrome for Android, etc.), we do not actively support these browsers. Backstage is not optimized to be used on devices with small screens, which is why we strongly recommend that users access it via a laptop or desktop computer.
How to manage permalinks and export a report that contains all permalinks
In your workspace, you can access a full list of all the existing permalinks for the workspace.
This includes any existing permalinks for live sessions (host, speaker, moderator, live display), for sponsors, and for activity challenge leaderboards, when applicable.
To do so, go to the Settings category in the workspace, and access the Permalinks section.
Here you can:
- Click on each permalink to access Studio directly using the link.
- See in the Title column the:
- name of the live session that is related to the permalink.
- the type of permalink: host / moderator / speaker / live display / sponsor).
- the email address of the Backstage user that generated the permalink.
- the date when the permalink was generated.
- Click on the Copy permalink button to easily copy the permalink to your clipboard in order to paste it elsewhere.
- Revoke a permalink to ensure that users will no longer be able to use it to access the corresponding content or functionality (this cannot be undone).
- Click on the Export XLS button to download the full report that contains all the permalinks and their details:
The export will include all the information that pertains to each permalink, including both the extended and the short version of the permalink.
