Workspace templates can be used in Backstage to automate the workspace creation process, effectively saving you and your team time and effort when creating your events.
A template is essentially a workspace shell, or container, that can always be re-used for any future workspaces you create. The content of a template is identical to that of a workspace, but when a template is used to create a workspace, all event attendee information or personal data is removed.
For example, a workspace template will contain configured modules, settings, sessions, feeds, forms, pages, scheduled notifications, etc. but will not include app user feed posts, form responses, or any other information relating to users when used to create a workspace.

SpotMe provides a number of available templates to choose from when creating a workspace, depending on the type of app you are creating.
Organizations can build their own templates and configure who has access to them within their organization. This is performed by the organization administrators.
Using a template to create your workspace

SpotMe templates
All SpotMe templates are available to choose from when you create a workspace using the workspace creation wizard.
More details regarding these templates can be found in the workspace template library, except for the Classic and Onboarding templates, for which you can find information below.
The content and functionalities (modules) in a workspace will vary depending on the template you choose.

Creating a workspace template
Creating a workspace template using an existing workspace
The easiest way to create a workspace template is to create it based on an existing workspace.
To do so, open the workspace that you want to create a template from, and in the workspace main menu, click on Settings > General > Create a template from this workspace:
Creating a workspace template from scratch
Organizations can create their own templates from scratch in Backstage, also based on an existing workspaces or templates:
Go to the Backstage home page, and click on Workspaces > Templates :
This displays the Templates dashboard, where you can see all the templates that you have access to and are able to edit. From here:
- Click on the Create template button to start creating your template.
The below window is displayed: - Enter a name for your template.
- Enter a short description of the template you are creating. This can be a brief description of its purpose and/or content, and will be visible in Backstage when selecting the template for use.
- Enter a long description: this is where you can add more details about the template. This information will only be visible if the Backstage user opens the details section of the workspace template when creating a workspace.
- Upload an icon for the template. The icon will be visible in the template dashboard when the Backstage user accesses it from the Backstage home page (we recommend a square of 512×512px).
- Upload screenshot(s) for the template. The screenshot(s) will be visible when the Backstage user opens the details section of the workspace template when creating a workspace (we recommend a rectangle of 1920x1080 px). You can add up to four screenshots.
- The Based on field is used to select an existing template or workspace that you can use as a basis to create the present workspace.
Select either Template or Workspace, and then in the dropdown list to the right select the template or workspace that you'd like to use.
Important: Please ensure that the workspace or template you are using to create a new template (or workspace) has fully up-to-date modules and libraries, to ensure that all data is copied (with old packages not all data is copied). - In Data storage, select the region where the template data will be stored.
- In Visibility, you can choose between Private and Public, to determine who will have access to this template in your organization. More information is available below on this in the Template management and visibility section.
- Click on Create.
The workspace template is now created, and the new template's dashboard is displayed.
You can now add content to this template in the same way that you would add content to a workspace.
Once a template is created, depending on the selected template visibility, the team members or the users of the whole organization can use the template when creating their workspaces.
Registration pages in workspace templates
Registration pages are fully supported in workspace templates, to help save time when setting up new workspaces.
By the "registration page" in a template, we are referring to all the registration page information and forms, the theme, the emails sent out at each step of the sign-up process, and all the settings of the registration page.
The registration page:
- Is included in the template when the template is created based on an existing workspace that has the registration page configured.
- Can be created from scratch and edited directly within a workspace template.
- (If configured in a template) will be carried over into any workspace that is created using that template.
In workspaces created using a template that includes a registration page, the registration page will not be automatically enabled/open in the created workspace. To enable it, the Backstage user will need to:
- Go to Content > Registration page in the workspace in Backstage.
- Click on the Enable registration button.
- Edit the registration page URL in order to enable it.
Template management and visibility
Templates are created and managed by the organization administrators, who can configure the template's visibility within the organization when creating the template.
Templates can either be private (visible to the organization team members only), or public (visible to the whole organization).
Please refer to step 9 of the Creating a workspace template section above for information on configuring the template visibility.
Template updates
Organization templates are updated automatically with the most recent patches and minor releases, however they need to be updated by the template owners when any major releases are made to the modules contained in the template.
Important: Please ensure that the workspace or template you are using to create a new template (or workspace) has fully up-to-date modules and libraries, to ensure that all data is copied (with old packages not all data is copied).
Template owners can open the template and check the Marketplace > Installed modules tab to view what updates are available for the installed modules, and then perform the updates.
