If your event has passed or if your workspace has not been active for a while, it will be moved to an "archived" state in Backstage.
This means that it will be in the "Past" section of the list of workspaces, and look as follows:

Workspaces that are archived are no longer immediately accessible, whether manually by a Backstage user, or by API.
However, they just need to be manually restored in order to access them.
To restore a workspace, a Backstage user will need to have a "Manager" role in that workspace.
This can be done by clicking on the workspace in the workspace list and proceeding with the restore:
A "Restoring workspace" screen will be displayed while the workspace is being restored. This can take a couple of minutes:
If you do not want your workspace to be archived - if for example you have an ongoing "on-demand" event with published live session recordings that need to be accessible on-demand - we recommend that you extend the end date into the future so that it remains available as needed. To extend the end date or your workspace, please contact SpotMe support.
Below you will find a summary on how and when workspaces and templates are archived, depending on their status:
- All workspaces (test/preproduction/production workspaces) are archived 45 days after the event end date.
- Archived workspaces can be restored to the status they had before they were archived, by accessing them in the workspace list (workspace "Manager" role needed).
Restored workspaces will be archived again 30 days after their last restoration date, if they are not accessed/used. If you find that you are unable to restore an archived workspace, please contact SpotMe support. - Workspaces are deleted once they have been archived for more than 2 years, starting on the date when the workspace was last archived.
- Workspace templates are also archived if they are not used for a certain period, but are never deleted.
- Content hub workspaces are currently neither archived or deleted.
What about workspace templates?
Workspace templates are also archived if they are not used for a certain period, but are never deleted.
Once archived, workspace templates can no longer be selected as a template to create a new workspace (when using the workspace creation wizard).
They can however be manually restored via the "Templates" section in Backstage, in the same way as you would restore an archived workspace (see above):

Archived templates that are restored can once again be used as templates to create workspaces using the workspace creation wizard.
