How do tags and categories work in the content hub?
What are tags?
Tags can be added to content by the content hub admins in Backstage. They are used by admins to help identify videos and documents in the content hub in Backstage, and to create categories.
Visitors of the content hub can use the tags in the content hub as filters to easily find the content they are looking for (except in the HIGHLIGHTED section).
In the below example, the visitor has selected the Latest tag, to display any content associated with that tag:
From the admin's perspective in Backstage, multiple tags can be added to the same video or document, and are visible in the Content lists (Videos or Documents), in the Tags column:
How to create and add tags to content?
To create and add tags to your videos or document:
- Go to the Content section in content hub, and open the Videos or Documents list to find the item that you wish to add a tag to. Below we will look at the Partnerships video that currently has no tag associated to it:
- Click on the +Add button in the Tags column for that item. This will open the item's associated tags, where you can type to search for existing tags in the content hub or create a new tag in order to add it.
Either select the existing tag ("Latest") in the dropdown, or create a new tag by typing it in and hitting Enter:
The added tag will appear in the list for that item:
What are categories?
Categories can be created by admins to organize the videos and documents in the hub. These categories are then displayed separately in the HIGHLIGHTED section of the content hub to get more visibility from your audience.
In the below example, in the HIGHLIGHTED section there are two categories: "Latest videos" and "Retreats", that each contain their own content:
Note: If no categories are created in the content hub, the HIGHLIGHTED section of the content hub will not be displayed at all to the visitors of the content hub. Tags cannot be be used by visitors in the HIGHLIGHTED section of the content hub to filter content.
How to create categories and add content to them
In the below example there are two categories that are visible in the HIGHLIGHTED section of the content hub: "Latest videos" and "Retreats", that each contain content their own content:
Here, the Latest videos category is created using the "Latest" tag (created above in the How to add tags to your content section). It contains the Partnerships video, as well as two others that have the "Latest" tag added to them.
To edit or create new categories using tags:
- Go to the Design > Home categories section in the content hub in Backstage.
- Here you can click on the Create category button, to create a new category, or you can edit any existing category by clicking on the ⋮ icon for that category, and then Edit.
Note: You can also change the order in which the categories will be displayed in the HIGHLIGHTED section, using the tribar icon ≡ to the left to drag and drop the categories. - Here we have decided to create a new category called Elephant in the room.
For this category, we have:
- entered the name "Elephant in the room" for the new category.
- chosen that we wish to add content to the category that has the existing tag called "Elephant in the room".
The create category window shows all the content in the hub that has the "Elephant in the room" tag added to it:
Admins can select all content in the list using the check boxes to add it to the category, and click on Create category:
Or they can pick specifically which videos that have the "Elephant in the room" tag to add to the new category. For example, below the user does not wish to add the Elephant in the room (Q1) video, and therefore unselects it: - Once you have chosen what content to add to your category, click on Save to save your changes to the category.
Note: If you wish to add content with different tags, for example some content that has just the "Elephant in the room" tag, and some content that has just the "Latest" tag, you will need to first add the content from one tag, create the category, and then edit the category by selecting another tag and adding the content you want from that tag.
If multiple tags are selected when adding content to a category, then only the content that has both tags added to it will show in the dropdown list. Up to 100 items can be selected when creating a category.
The created Elephant in the room category now appears in the Home categories section in Backstage:
And is also visible in the HIGHLIGHTED section in the content hub for visitors to see:
Reordering content within categories
Created categories will appear in the HIGHLIGHTED section in the content hub for visitors to see (see above screenshot).
The content within these categories can be reordered manually to better suit your needs, and in particulare to allow you to decide what content will be immediately visible on the content hub landing page.
To do so, go to Design > Home categories in the content hub main menu, and select the name of the category where you would like to reorder the content:
Here, you can drag and drop your content vertically within the category, using the ☰ button
From here you can also delete add or remove items from your categories.
