Venue sourcing (v1.0)
Finding, comparing, and contracting a venue happens where the rest of your event lives: on the event record. Onomi delivers venue and supplier sourcing end to end through an integrated sourcing engine. The engine connects each event to the sourcing partner network of venues and hotel groups, the suppliers this flow sources. Everything the sourcing produces, from bids to the final contracted cost, lands back on the record your approvers and finance teams already work from.
New
- Sourcing starts on the event record. A venue request does not begin in a separate tool with re-keyed details. When an event needs a venue, you trigger the venue RFP directly from the event record. The request carries the event's dates and location. You complete the attendee count and the requirements on the request before it goes to market. The venues and hotels you invite then respond to what the event actually needs.
- Finding and comparing venues. Inside the sourcing flow, you search the sourcing partner network for meeting venues and group accommodation in the event's city or market. The results are the venues that match your attendee count and dates. They are ranked on the event's requirements, its location, the budget, and your organization's booking history, so the closest fits sit at the top.
- Instant booking for small meetings. Small, simple meetings without bedrooms do not need an RFP. Where the venue publishes a live, bookable rate, you book it straight from the search results at the published price. There are no proposals to wait for. The applicable size limit depends on the venue and the space.
- Contracting and award. Once the winning bid is selected, the agreement with the venue is executed following your legal and signature process. The sourcing flow supports that process rather than replacing it. An electronic signature workflow is available in the flow where your process uses one. Where a venue signs on its own platform, the executed agreement is stored back on the event record.
- Group accommodation for congresses. The same flow extends to group accommodation. Room blocks are sourced and bid like venues. The awarded pricing becomes a block when a holder of the Sourcing grant whose scope covers the event selects Create room block.
- Venue rules as a compliance control. (Available November 11, 2025) In life sciences, venue selection for an HCP event is governed by compliance policy, and Onomi treats it that way. Organization administrators configure venue rules in Onomi 360 > Policies, on the policy your compliance organization sets. Each rule states what it does.
Note: Purchase requisitions and purchase orders are raised in your procurement platform, exactly as your procurement policies require. Onomi is the system of record for the event: it carries the awarded and final costs on the event record, so the event view and the procurement view agree. The integration your implementation scopes against your purchasing systems reads them there.
Reminder
- Venue sourcing is enabled per organization. If you would like to activate it for your events, please contact your SpotMe Account Manager.
