Budget (v1.0)
The Budget module runs the financial lifecycle of an event from request to reconciliation, on the event record itself. A budget is captured with the request and kept in the request's currency. Automated policies govern it through planning and execution. It is reconciled and closed after the event.
New
- Budget from the first screen. Budget capture at request happens on the form's first screen. A budget band and currency are part of the request itself, not a figure added after approval. The band is a routing input. Together with attendee type and request category, it determines who approves the request. An escalation ladder carries high-value requests to senior approvers. Both sides of the approval see the money. The requester sees the requested budget on the request record, next to its status. The approver sees it inside the approval itself, with the visible trace of why the request routed to them. The money is on the record from submission rather than from the first committed cost.
- One budget, full cost lifecycle. After approval, the approved band and its currency carry over to the event as the approved band on its budget header. What carries over is the band, not a figure. The cost lines the planner adds during planning are the event's first budgeted amounts, worked inside the band the approval set.
- Policies that hold. The budget suite automates two types of budget policies.
- Reconciliation and closure. Reconciliation is a stage of the event with an assigned finance owner. The person responsible for closing the numbers is named on the event record. They are reminded from the end of the event, on the reminder cadence your organization sets, until the closure is recorded.
Important: The ERP and the procurement platform stay the systems of record. Purchase requisitions are created and processed in your procurement platform; invoices are processed and paid in your ERP. Onomi 360 replaces neither. The event record carries the financial picture: the budget as requested and approved, every cost through its lifecycle, the per-attendee allocation, and the reconciled final numbers.
The Budget module is enabled per organization. Please contact your SpotMe Account Manager to activate it for your meeting program. For an overview and step-by-step setup, see How to use the Budget module.
